Getting Started
RVCare Logbook covers a lot of ground, and it can feel like a lot to take in all at once. The good news: you don't need to fill in everything on day one. Start with the essentials, and the rest will fall into place naturally as you use the app.
The Right Order to Get Set Up
Almost everything in RVCare Logbook connects back to a vehicle. Set that up first and the rest of the app opens up.
- Add your vehicle — Tap Vehicles and create a record for your RV. Enter the year, make, model, and current odometer reading. If you tow a vehicle, add that too. This is the single most important step.
- Enter your insurance and warranty details — Still in the Vehicles section, scroll down to fill in your insurance policy, warranty, and road service information. Once entered, the Dashboard will alert you before any of them expire.
- Add your vendors — Head to Vendors and add the shops and service providers you use: your RV dealer, mechanic, tire shop, and anyone else. You'll link them to service records later, so it's worth doing early.
- Set up your components — Go to Components and add the major systems in your RV: engine, generator, roof AC, water heater, slide-outs, and any other parts you want to track. For each one, you can set a preventive maintenance schedule — the Dashboard will remind you when service is due.
- Log your existing service history — If you have records of past work — oil changes, filter replacements, repairs — enter them in Service. Even a few recent records give you a useful baseline.
- Add your tires — Go to Tires and enter each tire with its DOT code. RVCare Logbook uses the code to calculate the manufacture date and will alert you on the Dashboard when any tire approaches the recommended replacement age.
- Log your first fuel fill — Next time you fill up, open Fuel and enter the odometer, gallons, and cost. Once you have two or more fill-ups logged, the app calculates your MPG automatically.
What Can Wait
The following sections are worth setting up eventually, but there's no rush. Add to them as opportunities arise rather than trying to enter everything upfront.
- Trip Log — Start a new trip next time you head out. You'll quickly build up a history of where you've been.
- Campgrounds — Add a campground when you arrive somewhere new, or after a stay when it's fresh in your mind.
- Inventory — Work through your RV's storage at your own pace. Even a partial inventory is better than none.
- LP Gas, Fuses, Weight, Notes — Fill these in as relevant. They're there when you need them.
Dashboard
The Dashboard is the first thing you see when you open RVCare Logbook. It pulls together live data from across the app and surfaces the things that need your attention most.
What's on the Dashboard
- Fuel Economy — a sparkline chart of your last 12 fuel fills, with your average MPG.
- Last 12 Months — total trips taken, miles traveled, and fuel spending for the past year.
- Recent Service — the five most recent service records.
- Next Reservation — a countdown banner showing your upcoming campground reservation.
- Expiring Policies — insurance, warranty, road service, and medical assist policies expiring within 90 days.
- Preventive Maintenance Due — components with PM scheduled within the next 30 days.
- Tire Age — tires approaching or past their recommended replacement date.
- Open To-Dos — urgent and overdue to-do items, with a badge count.
Vehicles
The Vehicles section is the foundation of your logbook. Every fuel record, service record, tire, and trip can be linked back to a specific vehicle.
What You Can Record
- Name, year, make, model, VIN, coach serial number, model number, and chassis make and model.
- Current odometer reading with date.
- Owner information — name, address, and phone.
- Purchase date, purchase price, place of purchase, license plate, and license expiration date.
- Insurance policy — provider, policy number, expiration date, and notes.
- Extended warranty — provider, policy number, expiration date, and notes.
- Road service plan — provider, policy number, expiration date, and notes.
- Medical assist plan — provider, policy number, expiration date, and notes.
- Photos and attached documents — receipts, registration papers, manuals.
Multiple Vehicles
You can add as many vehicles as you like — your motorhome, tow vehicle, towed car, trailer, or any other vehicle in your fleet. The app handles them all independently.
Components
Components are the individual systems and parts that make up your RV — your generator, water heater, engine, slide-outs, and anything else worth tracking. Once you have components in the database, you can log service against them and set preventive maintenance reminders.
What You Can Record
- Component name, category, and description.
- Manufacturer, model number, and serial number.
- Purchase date, purchase price, and warranty information.
- Preventive maintenance schedule — set a PM due date and the Dashboard will alert you when it's approaching.
- Documents and photos attached to the component record.
Service Log Sub-tab
Every component has a Service Log tab that shows all service records linked to that component. You can also add new service entries directly from here.
Service
The Service section is a complete log of every repair, inspection, and service visit your RV has been through. Link each record to the component that was worked on, the vendor who did the work, and the vehicle it applies to.
What You Can Record
- Service date and a date the problem was first noticed.
- Vehicle and component this service applies to.
- Vendor or shop that performed the work.
- Problem description and work performed.
- Parts used.
- Costs — labor, parts, shop fees, tax, and discounts. Total cost is calculated automatically.
- Photos of the work performed.
LP Gas
The LP Gas section tracks every propane fill — when you filled up, where, how much, and what you paid. It's separate from the Fuel section, which covers diesel and gas.
What You Can Record
- Date of the fill.
- Fill location or station name.
- Vehicle the LP gas applies to.
- Quantity (gallons or liters depending on your unit setting).
- Price per unit and total cost.
- Notes.
Tires
Tire age is one of the most overlooked — and most important — safety factors in RVing. RVCare Logbook tracks every tire individually, calculates age from the DOT date code, and alerts you when replacements are approaching.
What You Can Record
- Position on the vehicle (LF, LR, RF, RR, spare, etc.).
- Brand, model, and size.
- DOT code — the full code stamped on the tire sidewall.
- Manufacture date — calculated from the last four digits of the DOT code (WWYY).
- Purchase date, purchase cost, and odometer at purchase.
- Current odometer and expected replacement date.
- Notes.
Reading the DOT Code
The last four digits of the DOT code tell you exactly when your tire was made. The first two digits are the week of the year (01–52) and the last two are the year. For example, '2319' means week 23 of 2019.
Fuel & DEF
The Fuel section tracks your diesel or gas consumption across three tabs: Fuel fills, DEF fills, and a Summary with charts and statistics.
Fuel Tab
- Date, fill location, and vehicle.
- Gallons (or liters) added and price per unit.
- Total cost.
- MPG / L/100km — enter manually or let the app calculate it from odometer readings.
- Odometer at fill.
- Exclude toggle — mark partial fills to keep your average MPG accurate.
DEF Tab
Diesel Exhaust Fluid fills are tracked separately. Record date, location, vehicle, quantity, price, and total cost.
Summary Tab
Charts and aggregate statistics across all your fuel records — average MPG, total spend, fill frequency, and trends over time.
Fuses
The Fuses section is a quick-reference guide to every fuse in your vehicle. When something stops working on the road, you can look up exactly which fuse to check without hunting for the owner's manual.
What You Can Record
- Fuse number or identifier.
- Location (fuse box, panel, or specific area of the vehicle).
- Amperage rating.
- Description — what circuit or component this fuse protects.
- Vehicle this fuse applies to.
- Notes.
Enhancements
The Enhancements section is where you document aftermarket additions, modifications, and upgrades to your RV. It's an invaluable record for resale — showing potential buyers exactly what has been added and what it cost.
What You Can Record
- Enhancement name and description.
- Date the enhancement was added.
- Multiple cost line items (parts, labor, shipping, etc.). Total is calculated automatically.
- Linked service records — associate the service records for the installation work.
- Photos of the enhancement.
- Notes.
Inventory
The Inventory section is a catalog of everything stored in and on your RV. From kitchen equipment to tools to spare parts, knowing what you have — and where it is — saves time and money.
What You Can Record
- Item name and description.
- Category — organize items into custom categories.
- Location — where in the RV the item is stored. Locations are customizable.
- Quantity and unit value.
- Notes.
- Photos — photograph your valuables for insurance purposes.
- Documents — attach receipts, manuals, or warranties.
Categories & Locations
Categories and storage locations are fully customizable. Set them up to match how your RV is organized — passenger compartment, rear garage, under-bed storage, and so on.
Weight
Understanding your vehicle's weight is a critical safety matter. An overloaded axle can cause tire failure, brake problems, and structural damage. The Weight section helps you record, track, and calculate your real-world weights.
Four Tabs
- Record List — all your saved weight records. Add new Motor Home or Tow/Trailer records from here.
- Motor Home — record individual axle weights (curb side and street side) and compare against GAWR (Gross Axle Weight Ratings). Hitch weight and tire ratings are also recorded.
- Tow Vehicle / Trailer — similar recording for tow vehicles and trailers.
- Content Calculator — a handy tool to estimate how different load distributions affect axle weights.
Warnings
When an axle load approaches or exceeds its GAWR, the app highlights it in red. Take these warnings seriously.
Trip Log
The Trip Log is your travel journal. Record every journey in detail — from a weekend getaway to a months-long adventure. Each trip has its own route map, cost breakdown, and notes.
What You Can Record
- Start and end dates and times.
- Primary vehicle and towed vehicle.
- Start and end locations.
- Intermediate stops — each with a date, location, and notes. Stops are used to draw the route map.
- Start and end odometer readings, total distance, and travel time.
- Weather and road conditions.
- Costs — fuel, camping, and other expenses. Total is calculated automatically.
- Trip highlights and general notes.
Route Map
Enter your start location, end location, and any intermediate stops. The app geocodes each location and draws a driving route on an interactive map with color-coded pins (green for start, orange for stops, red for end).
Tap Open in Maps to hand the route off to Apple Maps for live turn-by-turn navigation.
Campgrounds
The Campgrounds section is your personal database of every park and campsite you've visited or plan to visit. The more information you record, the more valuable it becomes over time.
What You Can Record
- Name, full address (auto-geocoded to a map), phone, fax, website, and email.
- Star rating.
- Facilities — a detailed checklist of amenities available for each site type (full hook-up, electric only, no hook-up, tent).
- Fees and rentals — nightly rates, additional charges, and any rental items available.
- Reservations — confirmation numbers, sites reserved, arrival/departure dates, payment details.
- Visit History — a log of every stay with detailed site notes, ratings, and conditions.
- Policies & Rules — pet policies, check-in times, noise rules, and more.
- Area Businesses — nearby restaurants, shops, and attractions.
- General notes.
Reservations → Visit History
Once the departure date has passed, a reservation moves automatically to the Visit History tab — nothing to tap. Open Visit History to add ratings, amenity details, weather, and notes about your stay. Use the + button in Visit History to record a past stay that wasn't entered as a reservation.
Vendors
The Vendors section keeps a directory of all the service providers, repair shops, dealers, and suppliers you use. Link service records to vendors and the app will automatically tally how much you've spent at each one.
What You Can Record
- Vendor name, contact person, and company type (Repair Shop, Dealer, Supplier, etc.).
- Full address — auto-geocoded to an interactive map.
- Phone number, website, and email address.
- Notes.
Automatic Cost Totals
The vendor detail view automatically calculates the total you've spent at that vendor across all linked service records. It's a useful way to see your repair history with a particular shop at a glance.
Checklists
Checklists are reusable step-by-step routines for any part of your trip. Build them once and reuse them every time — check off items as you go, then reset with one tap when you're done.
Creating a Checklist
- Tap + to create a new checklist and give it a name.
- Choose a colour to tell checklists apart at a glance.
- Add items with the + button inside the checklist.
- Drag items to reorder them to match your real-world workflow.
Using a Checklist
- Tap any item to check it off.
- When the routine is complete, tap Reset to uncheck all items — ready for next time.
Sharing and Printing
- Tap Share to export a checklist as plain text.
- Tap Print (Pro) to print a clean formatted version.
To-Do List
The To-Do List keeps track of everything you need to do — pre-trip preparations, repairs to schedule, items to buy, and anything else on your mind. Set due dates and priorities so the most urgent tasks always float to the top.
What You Can Record
- Task title and detailed notes.
- Due date.
- Priority — None, Low, Medium, High, or Critical.
- Done status — swipe or tap to mark complete.
Two Tabs
- To-Do — all incomplete tasks, sorted by urgency and due date.
- Done — completed tasks for reference.
Notes
The Notes section is a free-form text area for anything that doesn't fit neatly into another section. Think of it as a scratchpad that travels with your logbook.
What You Can Record
- Title and body text (no length limit).
- Notes are sorted by date, newest first.
What to Use It For
- Site-specific leveling or parking notes for campgrounds you return to.
- Dealer preferences and service advisor contact names.
- Packing checklists and pre-trip routines.
- Observations about the rig — unusual noises, quirks, things to watch.
- Anything else worth remembering.
Siri & Widgets
Home Screen Widget
RVCare Logbook includes a home screen widget that shows your Last 12 Months stats at a glance — trips taken, miles driven, and fuel spend — without opening the app.
- Long-press your home screen (iPhone/iPad) or Notification Centre (Mac) and tap the + button to add a widget.
- Search for RVCare Logbook and choose the small or medium size.
- Small: shows your miles driven for the year with trip count.
- Medium: shows all three stats — trips, miles, and fuel spend — side by side.
Siri Voice Commands
RVCare Logbook is fully integrated with Siri. These commands work immediately — no setup required. Just ask:
- “Log a fuel fill-up in RVCare Logbook” — opens the app directly to a new fuel record, ready to fill in.
- “Log a service record in RVCare Logbook” — opens the app to a new service record.
- “Log a trip in RVCare Logbook” — opens the app to a new trip.
- “What are my stats in RVCare Logbook” — Siri tells you your trips, miles, and fuel spend for the past year.
- “What's my MPG in RVCare Logbook” — Siri tells you your average fuel economy.
Shortcuts App
All five Siri commands also appear in the Apple Shortcuts app, where you can combine them with other actions to build powerful automations. For example, you could create a shortcut that logs a fuel fill-up and adds a reminder to check tire pressures — all in one tap.
On the Mac
Siri commands work on Mac too. Click the Siri icon in the menu bar or press the Siri keyboard shortcut and use any of the same phrases. The app will open and navigate to the right section automatically.
Tips & Tricks
Keyboard Shortcuts (Mac)
- ⌘ N — create a new record in whichever section you're currently viewing.
- ⌘ P — print the selected record.
- ⌘ ⇧ P — print the full list for the current section.
Printing
Every section supports printing on Mac. Print a formatted list of all records, or select a specific record and print a detailed single-page report. Great for insurance documentation or sharing with a service advisor.
Search
Every section has a search bar. Tap the magnifying glass (or click into the search field on Mac) and start typing — results filter instantly across all relevant fields.
Dashboard Shortcuts
Every alert on the Dashboard is a live link. Tap an expiring policy to jump straight to that vehicle's insurance tab. Tap a PM alert to go to the component. Tap a to-do to open it. The Dashboard is a launch pad, not just a summary.
Campground Tip
After every stay, spend two minutes in the Campgrounds section: transfer your reservation to Visit History, add a star rating, and jot a note about the site. Future-you will thank you when you're deciding whether to return.
Tire Safety
RV tires age from the date of manufacture, not from when you purchased them. A tire sitting on a dealer's shelf for two years is already two years old before you buy it. Enter the DOT manufacture date for every tire — not the purchase date — to get accurate age alerts.
Fuel Economy Accuracy
For the most accurate MPG figures, always record fuel fills when you top off the tank completely. Mark partial fills with the Exclude toggle so they don't skew your averages.
Weight Records
Weigh your rig at a CAT scale (common at truck stops in the US and Canada) with a full load: full fuel, full water, full cargo, and all passengers on board. The GAWR limits on your vehicle assume a fully loaded configuration.
Record Counts in Navigation
Turn on Show Record Counts in Navigation in Settings → General → Appearance to see a live record count next to every section — at a glance on iPhone, and in the sidebar on iPad and Mac. On Mac, even with the setting off, you can hover the mouse over any sidebar row to see the count in a tooltip.
iCloud Sync (Pro)
With RVCare Logbook Pro, your logbook syncs across all your devices. Make a fuel entry on your iPhone at the pump and it'll appear on your Mac before you've finished your coffee. Sync happens automatically in the background whenever a device is online.
